Privacy Policy

1. Scope

This Privacy Policy applies to the Brighter Sites marketing website at brightersites.app, the Brighter Sites client portal, and related communications and project workflows operated by Brighter Sites. It does not control the privacy practices of unrelated websites or services that we may link to.

2. Information you provide

You may provide information when you email Brighter Sites, create or use a client-portal account, complete project intake, review project materials, acknowledge agreements, approve launch, or otherwise work with us. Depending on the interaction, this may include:

• name, email address, business or practice name, and contact details;
• project goals, requested pages, services, locations, branding preferences, public contact information, credentials, biographies, and website content;
• files, images, written materials, approvals, questions, and other project communications; and
• signer name and other information used to document contract acknowledgment or launch approval.

3. Portal, security, and acceptance records

The client portal uses authenticated accounts and project membership to limit access to the appropriate project. To support account security, project administration, and reliable records, Brighter Sites and its service providers may process account identifiers, authenticated email addresses, timestamps, request metadata, and similar technical records.

When a client electronically acknowledges a project document or gives a recorded approval, Brighter Sites may retain the accepted document or content, document title and version, content hash, acceptance wording, signer name, authenticated email address, timestamp, IP address, user-agent information, project identifier, and audit identifier. These records help show what was presented and accepted.

4. Marketing website and analytics

As of this policy’s effective date, the Brighter Sites marketing site does not load our planned first-party Website Intelligence analytics tracker and does not use third-party advertising trackers for behavioral advertising. Hosting, content-delivery, security, and network providers may still process ordinary request information such as IP address, browser or device information, requested URL, and timestamps as part of delivering and protecting the site.

If Brighter Sites later enables first-party website measurement or makes another material change to the information collected on the marketing site, this policy will be updated to describe that collection and its purpose.

5. How we use information

Brighter Sites may use information to:

• respond to inquiries and communicate about potential or active projects;
• design, build, review, launch, maintain, and support websites and related services;
• operate and secure the client portal and other business systems;
• maintain project, approval, contract, billing, security, and audit records;
• troubleshoot problems, prevent misuse, and protect Brighter Sites, clients, and service providers;
• improve Brighter Sites services and internal workflows; and
• comply with legal, accounting, tax, insurance, or dispute-preservation obligations.

6. Service providers and disclosure

Brighter Sites uses service providers for functions such as hosting, content delivery, authentication, databases, source control, email, storage, security, and other business operations. Those providers may process information as needed to provide their services to Brighter Sites and are subject to their own terms and privacy practices.

Brighter Sites may also disclose information when reasonably necessary to comply with law or legal process, protect rights or security, address fraud or misuse, complete a business transfer, or work with professional advisers who have an appropriate need for the information.

7. No sale of personal information

Brighter Sites does not sell personal information to advertisers and does not use client-portal or project information to build cross-site advertising profiles.

8. Sensitive and regulated information

Do not send passwords, recovery codes, payment-card details, Social Security numbers, protected health information (PHI), medical details, or other highly sensitive or regulated information through ordinary email, the marketing website, or the project portal unless Brighter Sites has expressly accepted that type of information under a separate compliant scope and any required agreement is already in place.

9. Retention

Brighter Sites keeps information for as long as reasonably necessary for the purpose for which it was collected, to provide and document the services, maintain security and business records, satisfy legal or accounting obligations, preserve accepted agreements and approvals, and resolve disputes. Retention periods may differ by record type. When information is no longer reasonably needed, Brighter Sites may delete, de-identify, or securely archive it as appropriate.

10. Security

Brighter Sites uses reasonable administrative and technical safeguards appropriate to its services. No website, network, storage system, or transmission method can be guaranteed completely secure, and Brighter Sites cannot promise that an incident or unauthorized access will never occur.

11. Your choices and requests

You may contact Brighter Sites to ask a privacy question or request access, correction, or deletion of information associated with you. Whether a particular request can or must be fulfilled may depend on the type of record, an active project or contract, security needs, legal obligations, and the law that applies to the request.

12. Children

Brighter Sites provides business website services and does not direct its website or client portal to children. Do not submit information about a child through Brighter Sites systems unless it is necessary for an agreed business purpose and lawful to provide it.

13. Changes to this policy

Brighter Sites may update this Privacy Policy as its services, systems, or legal obligations change. The current version and effective or revision date will be posted on this page.
